Word Meaning
Order number The number of an order, like RMK-2026-000123. Use it as the EFT reference when you pay by EFT.
Collection PIN A 4-digit number the customer gets with each order. The customer gives it to the shop when collecting; the shop types it in before tapping Handed over. Keep it secret.
Delivery PIN The shop's own PIN (4 to 6 digits). When the crates arrive, the shop types it on the driver's phone to confirm the delivery. Set it on My shop ▸ Shop home ▸ Shop location and delivery PIN.
Membership number The customer's RMK number, like RMK00001250 (on My card and vouchers, with a QR code). It is used for vouchers and tabs.
Referral code The code of a sales rep or a shop. New customers who sign up with it (or with the referral link or QR code) are linked to that rep or shop.
Facility A shop's stock-credit account with RMK: a limit, a loan reference (LRMK…) and a monthly statement.
Drawdown One use of the facility: a stock order paid on credit. It starts (is "disbursed") when the goods are delivered to the shop. A stock order delivered in two parts has two drawdowns.
Instalment A part of a drawdown that must be repaid. Each drawdown is repaid in 3 monthly instalments, due on the 1st.
RFQ Request for quotation: RMK asks suppliers for prices for a list of products by a closing time. Suppliers send sealed bids.
PO Purchase order: what RMK buys from a supplier, like PO-2026-00045. Suppliers confirm it; RMK receives and pays it.
Voucher Every December a customer gets a voucher worth 2% of what they bought from 1 December to 30 November (no voucher under R10). It is used at checkout ("Use my loyalty voucher") and expires on 31 March.
Tab Credit a shop gives its own customer. The money and the risk are the shop's; RMK only keeps the record and suggests a safe limit.
Drop-off point A shop approved by RMK (lockable and shaded or cool storage, an active facility, a good delivery record) where local suppliers bring their goods. It earns a 10% handling fee on what it accepts, taken off the supplier's payment.
Custody From the drop-off until RMK's truck scans the produce out, the drop-off shop looks after RMK's produce. Produce that goes missing or spoils in its care (beyond a 2% normal weight loss) is charged to the shop: first from its handling fee, the rest to its facility.
Grade The quality given to each line of a local supplier's goods when they are received: A, B or reject (goes back, not paid). Grade A and grade B are separate offers, each with the supplier's own price; goods graded B are paid at the grade B offer's price, and refused when the supplier has no grade B offer.
Waiting for the shop Every customer order first waits for its shop to accept it (Orders to approve on Shop home). Not answered within 24 business hours, it is declined automatically.
Customer cash order A customer order paid in cash at a shop. When the shop accepts it, the shop owes RMK the retailer price through its facility from delivery; the customer pays the shop the consumer price. Only shops with a facility and enough available credit can take cash orders.
Cash/payment management 5% on every customer order (on the base price) for handling payments: RMK's on PayFast and EFT orders (it pays PayFast's fees), the shop's on cash orders.
Recommended price The price RMK recommends a shop sells at: the app's consumer price. For a local supplier's product it is the supplier's price x 1.27.
Delivery mode How a local supplier's goods reach the shops: A through a drop-off point, B delivered by the supplier (direct store delivery), C collected by RMK at the supplier's premises. Set per supplier, and per product or village where it differs.
Detour cost Mode C: the extra kilometres RMK's vehicle drives only to collect at a supplier (route km with the pickup − route km without it) x the vehicle's rate per km. It is taken off the supplier's statement for that trip.
Loading-bay packing Packing the goods per shop into crates at the wholesaler's loading bay (or at the depot), by scanning a crate label and then each item.
PO reconciliation For one purchase order: each line, the shops it was allocated to, their drawdowns and deliveries, and any shortage. Differences show on the exceptions list.
Sell-by date Harvest or production date + the product's shelf life. Produce with the earliest sell-by date is picked and delivered first (first expiry, first out).
Landed cost What one item costs RMK at the shop that receives it: the goods price + its share of transport (km, stops, extra trips) − any rebate (Big Save 8%). Staff choose the source with the lowest landed cost.
Super Deal Maker review A quality and compliance check of a producer (a site visit for fresh vegetables). Without an approved, current review RMK does not order from the producer.
Short supply A supplier delivered less of a product than RMK ordered. RMK shares the shortage over the orders (customer orders first, then the oldest shop orders, or pro rata), staff confirm it, and the short goods are never paid to the supplier.
Back order The short part of a shop's stock order that follows in the next delivery cycle, as its own stock order (shown with "back order of …"), at the lower of the original price and today's price: if the price went up, RMK absorbs the rise (shown on the owner dashboard); if it came down, the shop pays the lower price. A local supplier is paid the lower of its original and today's price. The shop owes only what was delivered.
Substitute Another product RMK offers a customer instead of a short item, at the same or a lower price. A dearer substitute needs the customer's OK (and is not offered on an order already paid by EFT or PayFast).
Store credit Money RMK owes a customer, or a shop for its paid stock orders (a paid item removed or returned). It shows at checkout as "Use my RMK store credit" and pays part or all of the next order first (a shop's, on stock orders paid by EFT or on its facility: only the rest is drawn). On the order page, Ask for a refund instead turns it into a refund.
Return Goods a shop sends back to RMK (number RET-2026-00001): damaged, wrong item, expired, short delivered or poor quality, raised within 7 days of delivery (1 day for fresh produce) with photos.
Credit note RMK's tax credit note (CN-2026-00001) for an approved return, at the price charged. It reduces the shop's facility debt as at delivery, or gives store credit or a refund. While RMK's VAT number is blank the credit note waits ("waiting for VAT number"; the credit is given at once) and is numbered, with its credit date, as soon as it is filled in.
Tax invoice RMK's tax invoice (INV-2026-000001) for every order, issued when the goods reach the shop, with RMK's VAT number and VAT per line (15% or zero-rated). The PDF is on the order page. While RMK's VAT number is blank, invoices wait ("waiting for VAT number") and are issued, with their delivery dates, as soon as it is filled in.
Supplier claim A debit note (DN-2026-00001) to a supplier for returned goods it is at fault for, at what RMK paid it. A local supplier's claim comes off its next statement; a wholesaler's is claimed by staff.
